Most small business owners I talk to think AI automation is either too expensive or too complicated to set up themselves. It's neither. The tools exist. The real barrier is knowing where to start.
Here's where to start.
These three automations have the highest return on time for small business owners. None of them require you to write code or hire a developer.
1. Automated Lead Follow-Up
This is the one most business owners sleep on until they lose a deal because of it.
When someone submits a form, texts your number, or emails you asking about your service: how fast do you respond? If the answer is "whenever I see it," you're losing money. Studies show that a response within 5 minutes vs. 30 minutes makes a measurable difference in whether that person converts.
What you set up: An n8n workflow that monitors your inquiry inbox or form. The moment a new lead comes in, Claude writes a personalized reply using their name and whatever they said. Then it sends automatically via email or SMS. You get notified. The lead gets a human-feeling response in under 5 minutes.
What you need:
- n8n (free tier or around $20/month cloud)
- Claude API key (pay-as-you-go, starts cheap)
- Twilio for SMS ($15 gets you started) or Gmail API for email
Time to set up: About 2 hours the first time, less if you use my free template.
2. Appointment Reminder Sequence
No-shows cost money. Most businesses either don't send reminders or send them manually. Which means they're inconsistent and often late.
What you set up: An n8n workflow that watches your booking calendar (Google Calendar, Calendly, whatever you use). When a new appointment is created, it automatically queues a reminder sequence: one 24 hours before, one 2 hours before. The message includes the appointment details, your location or Zoom link, and a one-tap reschedule link.
Clients show up more often. You spend zero time on it.
What you need:
- n8n
- Your existing calendar (Google Calendar works great)
- Twilio or Gmail for delivery
Time to set up: 90 minutes.
3. Customer Review Request
Reviews drive local business. Most owners know this and still forget to ask. They're busy running the business.
What you set up: A workflow that triggers when a job is marked complete (in your CRM, spreadsheet, or project tool). Two days later, it automatically sends a short, friendly text asking for a Google review. The message includes a direct link to your review page. No hunting required.
One extra 5-star review per week adds up. Set this up once and it runs on autopilot.
What you need:
- n8n
- Google Business Profile (free)
- Your direct review link (get it from your Google Business dashboard)
- Twilio for SMS
Time to set up: 45 minutes.
The Order to Do It In
If you're starting from zero: lead follow-up first, every time. That's where the money is. Then appointment reminders. Then reviews.
All three together probably save you 3 to 5 hours a week and directly impact revenue. That's not a future plan. That's next week if you get moving.
All three templates are on the Free Tools page. Download, import into n8n, swap in your credentials, and they're running.
